Exporting Entries

Databases and database entries can be exported into another file format through Tools → Export.

Supported Formats for Export

Databases can be exported into one of the following file formats:

  • XML (Extensible Markup Language)
  • CSV (file with entries separated by comma)
  • TXT (text file)
  • HTML (Hyper Text Markup Language)
  • PSWE (Password Depot database file)

To export a file into one of these formats, click on Tools → Export.

WARNING: The file formats XML, CSV, TXT and HTML do not support encryption. Anyone with access to those files can read their content in plain text!

NOTE: When exporting to the PSWE format, please note that the entries are encrypted using the authentication method you are currently using. This means that if you want to perform an import afterwards, you must use the same authentication method that you used for the export. For local databases, this is the master password and/or the key file. For server databases, it is the authentication method you also used to log in to the server (for example, Standard Authentication or Windows Domain Credentials). Therefore, before exporting, check whether the desired authentication method is also available at the location of the import.

NOTE regarding the CSV file: In a CSV file, every line contains one password entry. Up to 13 fields are assigned to each entry, separated by a delimiter: Description, Importance, Password, Modified, Expires, Username, URL, Comments, Category, Tags, Author, Sequence, and UUID.

How to Export

Before exporting the content of your file, you need to authenticate correctly first.

Step 1: Export Format and Target File

In the first step of the wizard, you can define the following:

  • Export format: Select the format into which you want to export the content from the drop-down list (XML, CSV, TXT, HTML or PSWE).
  • Target file: Choose a name for your export target file. Click on Browse to define the location for storing it.

Click Next to continue.

Step 2: Export Content

Choose which password entries you would like to export. The following options are available:

  • All entries in the database
  • Entries in the active view
  • Selected folder

HINT: If you choose the option Selected folder, you can select individual folders within your database for export and also decide whether sub-folders should be included. In the entry tree view, you can invert the selection using the Invert Selection column header. The option Entries in the active view includes all entries of the last view of your database before starting the export wizard.

Intermediate Step for CSV Export: Export Parameters

If you have selected CSV as the export format, an additional step appears where you can configure the CSV export parameters:

  • Field selection: Use the checklist to specify which of the 13 fields should be included in the CSV file. By default, all fields are enabled.
  • Reorder fields: Use the move up and move down buttons to change the order of fields in the CSV file.

  • Delimiter: The character used in the CSV file to separate individual fields. Typically this is ;, , or another defined character. Default value: ;

  • Text qualifier: The symbol used to enclose text values (e.g. full sentences). In most cases this is a double quote (").

  • Include field names: If enabled, Password Depot writes a header row as the first line of the CSV file. The header row contains the names of the exported fields (e.g., Description;Username;Password;URL).

  • Include entry paths: If enabled, Password Depot includes the full entry path (the folder/group structure) for each exported entry.

Result

After the export has been performed, the wizard displays the export result. Click Finish to complete the process.

HINT: You can enable the option Show the exported file in Windows Explorer. If you select this option, you will be forwarded to Windows Explorer and the corresponding directory as soon as you close the export wizard. This may be helpful if you do not remember the directory you chose for storing the exported file.

NOTE: Before the export wizard starts, you must authenticate with your master password. In the authentication dialog, you may use the virtual keyboard.
